Privacy Policy

The Conflict Competence Network (CCN) is an initiative of the Canadian International Institute of Applied Negotiation (CIIAN). In this Privacy Policy, “CCN,” “we,” “us,” and “our” refer to CIIAN in its operation of the Conflict Competence Network.

This Privacy Policy explains how we collect, use, protect, retain, and disclose personal information through the CCN website, RCCP registration and renewal processes, validator confirmation process, CCN communications, and related services.

Information We Collect

We collect personal information only where it is reasonably required to operate the Conflict Competence Network and provide its services.

Depending on how you interact with CCN, this may include:

  • your name, email address, phone number, country, role, sector, organization, and other contact details;

  • information submitted through RCCP registration or annual renewal, including reflections, self-assessments, development priorities, and professional or community practice context;

  • optional practice information about broad conflict patterns, pressures, and development needs encountered in your setting;

  • validator information, including name, role, relationship to the applicant, contact details, and validator confirmation;

  • payment and transaction information connected with RCCP registration or renewal;

  • communications you send to us, including inquiries and support requests;

  • newsletter subscription information, where you choose to subscribe; and

  • limited technical information generated through your use of the website, such as IP address, browser type, device information, pages visited, and website usage data.

Please do not include confidential case information, personal health information, allegations about identifiable individuals, or identifying information about employers, colleagues, clients, or other third parties in your registration, reflection, development plan, or practice-information responses.

How We Use Information

We use personal information to:

  • administer RCCP applications, registrations, renewals, and current-status records;

  • confirm eligibility and completion of required CCN registration steps;

  • receive and review validator confirmations;

  • process registration and renewal payments;

  • communicate with applicants and members about their registration, renewal, status, and CCN services;

  • respond to questions, concerns, and access or correction requests;

  • maintain the security, integrity, and effective operation of the CCN website and services;

  • send updates or other communications where you have requested or consented to receive them;

  • meet legal, accounting, tax, and record-keeping obligations; and

  • identify broad, non-identifying patterns and development needs that may help CCN strengthen future resources, support, and conflict-prevention initiatives.

We do not sell or rent personal information.

Practice Information and Collective Insight

CCN may invite members to provide optional information about the conflict challenges, pressures, and development needs they encounter in workplaces, organizations, leadership roles, and communities.

This information is intended to help CCN identify broad patterns and strengthen practical learning resources and supports. It is not used to make public claims about an individual member’s competence, workplace, employer, or organization.

Any reporting or insight developed from this information will use aggregated or de-identified information. CCN will not publish individual registration responses, self-reflections, development plans, or validator confirmations.

Validators

Applicants are responsible for choosing an appropriate validator and sharing their reflection and development plan with that person.

CCN does not automatically send an applicant’s full registration form to a validator. The applicant decides what materials to share for the purpose of obtaining their validator’s review.

CCN uses validator information to receive an independent confirmation that the validator has reviewed the member’s reflection and development plan and supports their ongoing efforts to apply and strengthen conflict competence. CCN may contact a validator to verify a confirmation or clarify information where reasonably necessary.

Service Providers and Disclosure

We may disclose personal information to service providers who help us operate CCN, including providers of:

  • website hosting and technical support;

  • online forms and Microsoft 365 services;

  • WordPress and WooCommerce services;

  • payment processing;

  • email, communications, and customer-support tools; and

  • secure data-storage and administration systems.

These providers may process information only as necessary to provide services to CCN or as required by law.

We may also disclose personal information where required or permitted by law, to respond to a lawful request, protect the security or integrity of CCN services, investigate suspected fraud or misuse, or protect the rights, safety, and property of CCN, CIIAN, members, or others.

Training and Assessment Through CIIAN

Learning Module One: Self and Others and the Conflict Competence Assessment are delivered by CIIAN.

When you access CIIAN training or assessment services, CIIAN’s applicable privacy policy, terms, payment processes, and assessment requirements may apply. CCN may receive confirmation that required training and assessment requirements have been completed for RCCP eligibility purposes.

Payments

RCCP registration and renewal fees are processed through the CCN website using third-party payment services.

Payment card information is handled by the applicable payment service provider and is not entered into RCCP registration or validator confirmation forms. We retain transaction and billing information only as reasonably necessary for payment administration, financial record-keeping, and legal obligations.

Cookies and Website Analytics

The CCN website may use cookies and similar technologies to support website functionality, remember preferences, understand how visitors use the site, and improve website performance.

You can manage cookies through your browser settings. Disabling cookies may affect the operation of certain website features.

Where CCN uses non-essential analytics or marketing technologies, we will provide notice and seek consent where required.

International Processing

CCN is operated from Canada. Information may be stored or processed in Canada or other jurisdictions where our service providers operate.

Personal information processed outside your home jurisdiction may be subject to the laws of the jurisdiction in which it is stored or processed.

Retention

We retain personal information only for as long as reasonably necessary to fulfill the purposes described in this Privacy Policy, maintain accurate RCCP registration history, respond to status-verification requests, resolve disputes, and meet legal, financial, and operational obligations.

When personal information is no longer required, we will securely delete, anonymize, or otherwise dispose of it in accordance with our information-management practices.

Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, use, disclosure, loss, misuse, or alteration.

No online system can be guaranteed completely secure. You are responsible for using secure devices, protecting your passwords, and contacting us promptly if you believe information connected with CCN has been accessed or used improperly.

Access, Correction, and Questions

You may request access to personal information that CCN holds about you, request correction of inaccurate information, withdraw consent where applicable, or ask questions about our privacy practices.

To make a request, please contact us through the CCN Contact page and identify your message as a privacy inquiry. We may need to confirm your identity before responding to a request.

The CCN website may link to third-party websites, including CIIAN and payment-service websites. CCN is not responsible for the privacy practices, content, or security of external websites. Please review the privacy policies of those websites before submitting personal information.

Updates to This Policy

We may update this Privacy Policy from time to time to reflect changes in CCN services, technology, legal requirements, or privacy practices.
